Chatbots and generative AI: how to automate customer service without sacrificing quality

Illustration of an application interface redesign, before and after

Opening hours, prices, availability, order tracking: a large share of the questions a customer service team receives are repeats. Generative AI can now answer them instantly, in a natural tone and in the customer’s own language. But a poorly designed chatbot frustrates more than it helps. Here is how to deploy one that genuinely improves satisfaction.

1. What an AI chatbot can do in 2026

Unlike the old decision-tree bots, assistants based on large language models understand freely worded questions, handle several languages and rephrase their answers. They can also take action: check an order’s status, offer an appointment slot or create a request in your CRM.

2. WhatsApp, the priority channel in Morocco

In Morocco, WhatsApp is by far the most widely used messaging app, including for contacting businesses. Deploying the assistant on WhatsApp Business (through the official API) as well as on your website lets you answer where your customers are already writing, with approved message templates and in line with consent rules.

3. A reliable knowledge base (RAG)

The quality of the answers depends on the information given to the AI. The safest method, called RAG (retrieval-augmented generation), consists of indexing your documents — FAQs, terms of sale, catalogue, procedures — so that the assistant answers from these sources rather than from general knowledge. They then need to be kept up to date: a price that changes must also be changed in the knowledge base.

4. French, Arabic, Darija: handling multiple languages well

Your customers may write in French, Modern Standard Arabic, Darija (sometimes in Latin script) or English. Recent models cope well, but you need to test the assistant with real customer messages and decide on the reply language: the customer’s, or a set language depending on the channel.

5. Handing over to a human, the key to quality

  • Define the sensitive topics that are automatically passed to an adviser (complaints, disputes, emergencies).
  • Let customers ask for a human at any time.
  • Pass on the conversation history so that customers do not have to repeat their request.
  • State clearly the hours when a human is available to reply.

6. Data protection and compliance

A chatbot processes personal data: names, phone numbers, sometimes order details. In Morocco, law 09-08 on personal data protection requires you to inform users, limit collection to what is necessary and secure the data; depending on the processing, a declaration to or authorisation from the CNDP (Morocco’s data protection authority) may be required. Choose AI providers that do not use your conversations to train their models.

7. Measuring return on investment

Track the rate of questions resolved without human intervention, the time to first response, customer satisfaction and the number of qualified leads generated. These indicators let you improve the assistant every month and put a figure on the time your teams save.

FAQ

Frequently asked questions

Does an AI chatbot replace customer service?

No, it complements it: it absorbs repetitive questions around the clock and leaves high-value or sensitive requests to your advisers.

How long does it take to set up a chatbot?

A first working assistant, connected to an existing knowledge base, can be deployed within a few weeks, then improved based on real conversations.

Can the chatbot take appointments or orders?

Yes, if it is connected to your tools (calendar, CRM, online store) through their APIs. These actions are governed by rules to prevent errors.
